The South Bay Sunsets is a California non-profit public benefit corporation with an elected board of directors. The board is elected at the start of each season.
DESCRIPTION OF DUTIES
General Manager
Shall be the teams’ liaison to the USFSA, its member clubs, the ISI and its member ice rinks. The GM shall negotiate contracts with the team coaches and any additional training personnel ensuring that the contractor’s scope of work includes, but is not limited to: organizing the teams practice and competition music, developing coordinating and executing on and off-ice skater training programs, developing team program concepts, including costume design, developing and ensuring adherence to the program choreography, selecting and developing team members for each team level, ensuring discipline in support of the skater agreement, coordinating with the board of directors before making team decisions, coordinating with team managers prior to any changes in any team schedules or agreement to participate in competitions, exhibitions, etc., and fulfill all other items as outlined in annual contract.
Shall be the primary team contact for individuals and skating organizations for competitions and exhibitions. Shall approve all group travel arrangements and itineraries between coaches and teams; approve activity schedule and contract group travel arrangements. Attend all USFSA and ISU meetings at competitions. Assist in the development of skater recruitment plan. Submit a team budget proposal to the board for the next fiscal year. Ensure that all approved payments are made. Prepare an agenda for and chair all board meetings.
The GM shall be nominated from members who have previously served on the South Bay Sunsets board.
Assistant Manager
Shall assist the GM in the negotiation of contracts for on ice and off ice time needed for team training. Shall assist in the negotiation of contracts with team coaches and other personnel and shall assist in ensuring the fulfillment of those contracts. Shall assist with travel arrangements, team development programs and budget proposals. Shall prepare an agenda and chair all board meetings in the absence of the General Manager.
Chief Financial Officer
Shall be the custodian of funds and keep accurate records of receipts and expenditures. As delegated by the General Manager, shall make disbursements in accordance with the approved budget, prepare a monthly financial report and a year-end report to South Bay Sunsets membership, and shall assist the General Manager in preparation and review of the annual budget. Shall distribute quarterly member financial statements, and shall arrange and file tax reports and audits as required, in accordance with State and Federal regulations. This officer shall not chair any committee.
Communications Manager
Shall be responsible for recording and timely posting of the minutes of each board meeting. Shall chair nominating committee and conduct all elections. Shall be responsible for written and electronic communications as directed. Shall maintain a website for the South Bay Sunsets. Shall chair board meetings in the absence of the General Manager and the Assistance Manager.
Intermediate and Juvenile Team Operations Managers
Serves as the chief liaison from the Board of Directors to the skating members of the South Bay Sunsets. Shall be responsible for team operations as outlined by the board. Enforces, and supports the coaches in enforcing the stipulations of the skater’s agreement. Communicates written practice and performance schedules. Shall keep all pertinent records for each team members such as but not limited to: birth certificates, USFSA and ISI numbers, emergency contact numbers, and email addresses. Shall assist the GM in completing all competition and exhibition entry forms. Shall plan travel arrangements, when necessary, and develop trip itinerary and activity schedules as approved by the board of directors. Collects dues and assessments form team members. Shall be responsible for the coordination, acquisition and distribution of team attire, and ensures the uniform “look” of the team at all performances as directed by the coaches and the board of directors.
